Privacy Policy

Last updated: June 20, 2026. This policy explains how Veera ID handles website leads, customer account information, and product data used by hotel front desk teams.

This document is a business-ready starter policy, not legal advice. Have an attorney review it before relying on it for production sales.

1. Information We Collect

We collect information you provide to us, including name, email address, phone number, hotel or property name, room count, PMS notes, and messages submitted through our website or sales process.

When Veera ID is installed for a customer, the desktop software may process guest ID images and extracted guest details on the property computer as part of the front desk workflow.

2. How We Use Information

  • To respond to demo requests and support inquiries.
  • To provide, support, and improve Veera ID.
  • To set up pilots, subscriptions, onboarding, and customer support.
  • To maintain security, auditability, and operational reliability.

3. Guest ID Data

Veera ID is designed as a local-first product. Guest ID images and guest logs are intended to remain on the customer's front desk PC unless the customer chooses to export, back up, share, or otherwise transmit that data.

Customers are responsible for using Veera ID in accordance with their own guest privacy obligations, retention policies, and applicable law.

4. AI Processing

Veera ID may use a paid AI vision provider to extract text from guest IDs. AI processing is used to assist the front desk clerk, not to replace human verification. See our AI Data Handling Statement for more detail.

5. Service Providers

We may use trusted service providers for website hosting, forms, email, payment processing, licensing, analytics, support, and AI processing. These providers process information only as needed to support Veera ID operations.

6. Retention

Website lead and customer account information is retained for as long as needed for sales, support, billing, legal, and operational purposes. Guest ID data processed by the desktop product is generally retained according to the customer's local configuration and property policy.

7. Security

We use practical safeguards intended to protect information, including HTTPS on the website, local-first product design, role-based product direction, and limited access to customer business information. No system can be guaranteed to be 100% secure.
